The Origin Story of Captain Workorder

Employees in the IS department were struggling with effective communication within the department and company. They were experiencing difficulties in sharing information, closing work orders in a timely manner, and staying up to date with the latest updates. This was leading to decreased productivity and a sense of disconnection within the company.

Goal: To improve departmental communication and speed up the time in which work orders are closed.

To better understand the communication challenges faced by the department, I conducted the following research:

Surveys: I distributed a survey to employees in the department to understand their communication preferences, challenges, and pain points.

Interviews: I conducted interviews with employees from different teams in the department to gather more information about their communication practices.

Based on my research, I gained the following insights: Communication was fragmented and employees would often forget to either check their work orders, close their work orders or reach out to the requestor of the work order. Most employees felt that some type of signage or a reminder to check their work orders was the best solution.

Solution: Based on the research, I proposed the following solution: Large graphical signage around the work area reminding employees to check their work orders and to communicate clearly with fellow employees.

Design: I created a series of different sketches and designs that would be the most eye-catching and still have a fun a playful feel to them. Which I then submitted to the different heads of the department for approval.

Testing: The department heads agree on a style and campaign for our communication branding. The testing started off with small laptop stickers, to remind employees to communicate and address work orders. The testing went well and we moved to large signs that were placed at entrances and exits of the department as well as t-shirts.

Conclusion: By creating singage we were able to address the issues of work orders sitting in a queue for too long. This resulted in improved communication, increased productivity, and a sense of community and branding within the department.
